01Who we are

This policy explains how Quartzle Ltd ("Quartzle", "we", "us" or "our") handles personal data when you use quartzle.com or get in touch with us. We are the data controller for that data. Our address is 128 City Road, London, EC1V 2NX, United Kingdom.

For any privacy question or request, email [email protected].

02Data we collect

We only collect data you choose to give us, plus the minimum technical data needed to run the website:

  • Contact form: your name, work email, company (optional), the service and budget you select, and your message.
  • Calls and meetings: the name, email and any notes you enter when booking a call through Calendly.
  • Emails and messages: anything you send us by email, WhatsApp or LinkedIn.
  • Technical data: our hosting provider records standard server logs (such as IP address, browser type and the pages requested) to keep the website secure and working.
  • Usage data: Google Analytics collects information about how you use the website, such as the pages you view, how long you stay, the site that referred you, your approximate location, and your device and browser type.

We do not use advertising trackers, and we do not buy personal data.

03How we use it and our legal basis

  • To reply to your enquiry and prepare a proposal or quotation: steps taken at your request before entering into a contract.
  • To deliver a project we have agreed with you: performance of a contract.
  • To keep the website secure, prevent spam and fix problems: our legitimate interests.
  • To understand how visitors use the website so we can improve it: our legitimate interests.
  • To meet accounting, tax and other legal duties: legal obligation.

We will not send you marketing emails unless you ask us to, and you can opt out at any time.

04Cookies and local storage

We use Google Analytics to measure how the website is used. It sets cookies (named _ga and _ga_<ID>) that last up to 2 years and let it recognise returning visitors. It gives us statistics about visits, not your name or contact details. You can block these cookies in your browser settings, or opt out of Google Analytics on every website with Google's opt-out browser add-on (tools.google.com/dlpage/gaoptout).

We do not set advertising cookies. The website also stores one item in your browser's local storage: your light or dark theme choice, so the site looks the same on your next visit. It contains no personal data and you can clear it at any time in your browser settings.

If you open the booking window, Calendly may set its own cookies to run the scheduler. Those are covered by Calendly's own privacy and cookie policy.

05Who we share it with

We never sell your personal data. We share it only with service providers that help us run the business, under contracts that require them to protect it:

  • Vercel, which hosts this website.
  • Google, which provides Google Analytics.
  • Our email hosting provider, which delivers contact form messages and our email.
  • Calendly, which handles call bookings.
  • Professional advisers, such as accountants or lawyers, where needed.

We may also disclose data where the law requires it.

06International transfers

Some of our providers store or process data outside the UK, including in the United States. Where that happens, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum to keep your data protected to UK standards.

07How long we keep it

We keep enquiries for up to 24 months after our last contact, unless they lead to a project. Client and project records are kept for as long as the relationship lasts and then for up to 6 years to meet legal and accounting requirements. After that, we delete or anonymise the data.

08Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted;
  • restrict or object to how we use it;
  • receive your data in a portable format;
  • withdraw consent at any time, where we rely on consent.

To use any of these rights, email [email protected]. We will reply within one month.

09Security

The website is served over HTTPS and contact form messages are sent over an encrypted connection. Access to personal data is limited to the people who need it to do their work.

10Complaints

If you have a concern, please contact us first at [email protected] so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk.

11Changes to this policy
